How to Conduct a Capability Assessment Without Being Intrusive

You don’t need to be a doctor to assess capability, but you do need to be observant and communicative.

  • Self-Assessment: Simply ask the employee! During training, ask staff to identify which parts of their job they find physically taxing. They are the ultimate experts on their own bodies.
  • Practical Observation: Watch how an employee handles a standard load. Do they struggle with the grip? Do they hold their breath (a sign of over-exertion)? Do they appear to be straining their neck or face?
  • The “Rule of Thumbs”: If an employee has to use their full strength to complete a task, the task is too heavy for them to perform repeatedly. There should always be a buffer of strength left over to handle unexpected shifts in weight.

5 Key Factors in Assessing Capability

  1. Physical Stature and Strength: This is the most obvious factor. Height, reach, and muscle mass play a significant role in how a person interacts with a load. Shorter employees may have to reach above shoulder height (outside the Power Zone) for tasks that a taller person can perform easily. Conversely, very tall employees may have to bend further to the floor, increasing spinal compression.
  2. Existing Health Conditions: A history of back pain, hernia, or heart conditions significantly changes an individual’s risk profile. Use confidential health questionnaires during induction and encourage an open-door policy where employees feel safe disclosing new aches or pains without fear of losing their job.
  3. Pregnancy and Post-Natal Recovery: Expectant mothers undergo significant physiological changes, including shifted centers of gravity and loosened ligaments. You are legally required to conduct a specific risk assessment for pregnant employees. Tasks that were previously safe may need to be avoided or modified as the pregnancy progresses.

A seasoned worker might have lower raw strength but superior technique, whereas a young, strong newbie might be more at risk due to overconfidence and poor form.
  5. Psychological Factors: Capability isn’t just physical. Stress, fatigue, and even a lack of confidence can affect how a person handles a load. A distracted or exhausted employee is far more likely to forget their training and take a quick lift shortcut.
